Resolution Authorizing the Acceptance and Appropriation of a Payment in the Amount of $81,568.00 Received from Entrust Records Management Services to Fund the Extraction of Records from the City’s Current Records Storage Vendor
Purpose
PURPOSE/BACKGROUND:
A Request for Proposal (RFP) was established for the City’s records storage needs. EnTrust was able to offer the same level and quality of services as well as some new and combined services that the City was receiving from Iron Mountain but at a fraction of the yearly associated cost; thus the bid was awarded to EnTrust. EnTrust has agreed to cover all of the associated charges to cancel services and pull out all of Hampton’s inventory with Iron Mountain. These charges amount to $81,568.

WHEREAS, the Information Technology Department is in the process of replacing Iron Mountain, the current records storage vendor, and has awarded a new contract to Entrust Records Management Services (RFP 18-47TM);
WHEREAS, Entrust Records Management Services will pay $81,568.00 to the City to assist in the payment of fees for extracting records from Iron Mountain;
NOW, THEREFORE, BE IT RESOLVED by the Council of the City of Hampton, Virginia that the payment in the amount of $81,568.00 is hereby accepted and appropriated from the General Fund-Miscellaneous Revenue Account to the Information Technology Fund Operating Budget to cover the fees associated with the extraction of records from Iron Mountain, the City’s current records storage vendor.
